SUMMARY:
Organizes counseling schedules to better meet the needs of students, parents and teachers; assists the counselors in tasks related to counseling services, testing, registration, and record keeping.

BASIC DUTIES AND RESPONSIBILITIES:

- Work with data entry clerk/registrar to input PEIMS completion rate and at-risk data; assist with update and maintenance of student at-risk list each grading period.
- Assist with the maintenance of student files and registration appointments with
- Assist with the scheduling of volunteers/mentors.
- Work with the academic associate in all areas related to testing.
- Provide web master with updates to the counseling office web page.
- Organize, maintain, and distribute scholarship information.
- Develop semester schedules for group counseling.
- Attend and take minutes at all staff meetings and distribute same.
- Perform routine bookkeeping tasks, including simple arithmetic operations, to maintain counseling budget records.
- Maintain supplies for the counseling office; order office supplies as needed.
- Coordinate the counselors’ visits to feeder campuses for spring course selection.
- Assist with the organization of schedule pick up for first day operations each semester.
- Answer incoming calls, take reliable messages, and route to appropriate staff; handle questions and requests that fall within level of responsibility.
- Receive, sort, and distribute mail and other documents to department staff.
- Organize school registration and mentor program luncheon.
- Send semester failure notifications.
- Schedule SAVE committee meetings.
- Maintain data for physical education waivers.
- Maintain counselors’ daily logs for documentation data; maintain records of counseling office communications and meetings.
- Collect monies for PSAT, AP tests, prep classes, etc.
- Provide front office support as directed.
- Attend and participate in faculty meetings and special events and serve on staff committees as required.
- Utilize effective communication skills; ensure that all interactions with students, district personnel, and parents are supportive, courteous, and respectful.
- Maintain confidentiality.
- Comply with all policies, operating procedures, legal requirements, and verbal and written directives.
- Participate in staff development training programs to improve job performance.
- Comply with the Employee Standards of Conduct.
- Perform other related duties as assigned.

SKILLS AND KNOWLEDGE:
- Strong organizational, communication, and interpersonal skills
- Proficient keyboarding, calculator, and file maintenance skills
- Knowledge of correct English usage, grammar, spelling and punctuation
- Basic math skills
- Ability to use personal computer and software to develop spreadsheets, data bases, and do word processing

QUALIFICATIONS:
Education/Certification:
- High school diploma or equivalent
Experience:
- Three (3) years successful clerical experience
